Job Summary:
As an Assistant Recruiting Manager, you will support the International & Domestic Recruiting Manager in coordinating and implementing recruitment activities for the Employment Team. This position assists with domestic and international recruiting initiatives, candidate coordination, hiring processes, and day-to-day recruitment operations while helping departments meet their staffing needs efficiently and professionally.

Essential Duties and Responsibilities include following. Other duties may be assigned:
- Serve as a resource and subject-matter expert for international recruitment and participant programs, providing guidance to candidates, employees, department leaders, and Employment Team members.
- Assist the International & Domestic Recruiting Manager by establishing priorities, improving recruitment processes, and ensuring international recruiting initiatives are completed accurately, efficiently, and in accordance with established timelines.
International Recruitment & Participant Coordination
- Respond promptly and professionally to international placement inquiries received by email, telephone, and other communication channels.
- Maintain regular communication with incoming international participants to answer questions, provide program and employment information, and obtain updates regarding visa processing, travel, and arrival status.
- Prepare and maintain current recruitment materials, including information regarding available positions and international employment opportunities.
- Maintain accurate master participant lists for international programs, including participant names, departmental rotations, start and end dates, Broadmoor ID numbers, and other required information.
- Prepare and complete required host employer documentation for J-1 12-month, J-1 6-month, Work and Travel, and H-2B programs.
- Create and distribute formal employment offers to international participants; track receipt and maintain signed documentation.
- Coordinate J-1 transfers, including required data entry in Dayforce and maintenance of the J-1 Master List.
- Maintain accurate records and communicate participant arrivals, delays, cancellations, departures, and visa-related concerns to appropriate department managers and stakeholders.
Visa Sponsorship & Program Administration
- Partner with the International Staffing Manager and visa sponsorship agencies to coordinate and develop required J-1 training plans, ensuring signed documentation is properly maintained.
- Prepare, distribute, and track Training Accomplishment Letters, Travel Authorization Forms, travel validation requests, and other required participant documentation.
- Collect and submit required arrival verification notifications to visa sponsors in a timely manner.
- Maintain professional communication with schools, visa sponsors, agency partners, and other program representatives regarding participant status, sponsorship requirements, and program-related concerns.
- Coordinate and support site visits from visa sponsors, schools, and international program partners.
- Request, monitor, and reconcile sponsorship fees advanced by the hotel, including tracking participant repayment and coordinating discrepancies as needed.
H-2B Program Support
- Assist the International Staffing Manager with H-2B arrivals, onboarding, departures, and cash advances.
- Assist with preparing required documentation for H-2B petitions and maintaining hotel data necessary to support visa filings.
- Coordinate and assist with flight arrangements for arriving and departing H-2B employees.
- Track and report applicable arrival and departure reimbursements for H-2B employees to the International Staffing Manager and Accounting.
International Housing Coordination
- Coordinate and maintain records associated with the arrival, stay, and departure of approximately 300 H-2B employees and 500 J-1 participants annually.
- Create and maintain participant profiles in the employee housing system, including names, check-in and check-out dates, Broadmoor ID numbers, photo identification, and other required information.
- Maintain proactive email communication regarding upcoming international participant arrivals and housing arrangements.
- Coordinate with Accounting and the Housing Manager regarding payroll deductions for rent, deposits, fines, and other applicable housing charges.
- Partner with the Human Resources Generalist team and Housing Manager to assist with resolving housing-related employee relations matters.
Onboarding, Orientation & Employment Support
- Coordinate and execute onboarding and orientation programs for international participants, ensuring a professional and welcoming arrival experience.
- Maintain international participants in the onboarding scheduler, open appropriate job requisitions, and complete required employment-system data entry.
- Assist the Employment Team with general onboarding and recruitment activities as operational needs require.
- Coordinate Social Security Administration visits, including scheduling, preparation of participant packets, transportation tracking, and follow-up.
- Complete applicable Dayforce data entry, distribute HireRight I-9 communications, maintain records of participants awaiting Social Security numbers, and assist in resolving documentation concerns.
- Partner with the Culinary Executive Assistant/F&B Administration to maintain accurate culinary participant master lists by kitchen and assignment.
Participant Engagement & Cultural Programming
- Manage international participant communications through Beekeeper, including posting and monitoring the J-1 communication stream.
- Develop flyers, promotional materials, and communications for international participant programs, events, and activities.
- Assist with planning and coordinating cultural activities and trips, including promotion, participant communication, attendance tracking, and occasional participation in scheduled trips.
- Coordinate with Accounting to accurately track attendance and applicable deductions for cultural activities.
Department & Operational Support
- Maintain accurate, organized, and confidential international recruiting, employment, housing, and program records in accordance with established procedures.
- Build effective working relationships with department managers, Human Resources, Accounting, Housing, Guest Services, international partners, schools, and sponsorship organizations.
- Support the day-to-day operations and special projects of the Human Resources and Employment Teams, assisting in other areas as business needs require.
- Remain organized and responsive while managing multiple international programs, deadlines, participant inquiries, and competing priorities.
- Maintain a high level of professionalism, discretion, and attention to detail when handling confidential employee and participant information.
- International travel may be required to support recruitment and international staffing initiatives.
- Ensure complete compliance with The Broadmoor guidelines, operational procedures, safety policies, and institutional standards for excellence (Forbes Travel Guide and AAA Five-Diamond).
- Maintain a willingness to learn about The Broadmoor’s history, estate grounds, wilderness properties, culinary offerings, and retail outlets.
- Execute additional duties and responsibilities as required.

What we are looking for:
- Bachelor’s degree in HR, hospitality or business administration.
- Previous recruitment experience in hospitality or high-end resort operations is highly preferred; however, an equivalent combination of relevant education and professional background will be considered.
- Previous experience working with international visa programs, international recruiting, or international staffing processes preferred.
- Previous experience managing social media platforms, internal communications, recruitment marketing, or promotional campaigns preferred.
- A valid driver’s license is required, as this role may involve transporting equipment across the Resort. Please note that all employees operating Broadmoor vehicles must be at least 18 years of age.
- Ability to utilize Microsoft Office tools for documentation and email communication.
- Proficiency with Applicant Tracking Systems (ATS), HRIS platforms, and Microsoft Office Suite / Google Workspace. Working knowledge of international employment laws and visa regulations.
- Exceptional interpersonal, cross-cultural communication, and public-speaking skills. Highly organized with strict attention to detail in managing fast-paced candidate pipelines.
- A highly motivated team player who connects easily with colleagues and drives results through positive energy and seamless collaboration.
- Excellent communication skills, negotiation, conflict resolution and ability to work in fast-paced environment.
- Ability to lift, pull, or push up to 50 lbs. with assistance and proper safety practices.
